Welcome to Harvestly

Harvestly is an online farmers market delivery service that connects you to the modern customer.  Through our easy-to-use digital marketplace, customers can shop your products 24/7, leave reviews, discover sales or new items, order for delivery, and so much more.  This document will go over everything you need to know to start growing on our platform.

Vendor Portal Steps

Congratulations, you’ve been approved as a Harvestly vendor!  First, you can gain access to your vendor portal at the bottom of www.harvestly.org by clicking Vendor Login.

Next, please connect your bank account to Stripe

  • In your vendor portal, click your name in the top left corner
  • Then click Seller Info, scroll down, and click Connect a Stripe Express Account
  • For this you’ll need your taxpayer ID number and you must accept the terms and conditions to be approved through Stripe.  Your contracted rate of revenue from each sale will be directly deposited into your account the Monday after delivery day.
  •  If you click on Orders, then Order Payout Amount, then Balance Withdrawals, this will show you how much you’re paid out and for what corresponding order number.

Once logged in, look to the top left, click on your name, input your business description and logo.

Now it’s time to add your products.  

  • Go to the products tab
  • Click the  white plus sign on the upper right corner to add a new item
  • Click Create New Product
  • This is where you’ll enter all the information and the pictures.  Please make the description so descriptive and the picture is delicious so the customer will want to eat it  from those two pieces.  ***If you need help, reach out to Taryn***
  • Make sure to include the product size, serving size, how many it feeds, and how your product comes (ie frozen) if applicable
  • You are responsible for the inventory numbers and keeping them current weekly.  Tracking inventory is important if you’re only able to provide a certain amount of product.  If it’s unlimited, you don’t have to track your inventory, but it is highly recommended.
  • Active - product is available, Hidden - product is temporarily unavailable, Unavailable - you’re no longer producing that product
    • It is the vendor’s responsibility to ‘hide’ your products if they are out of town or unavailable for that week
  •  Tags are available for products (ie Vegan, Gluten Free, etc)
  •  If you have one item in multiple sizes, quantities, or flavors, please create one item for each.  After that, Harvestly will combine them all for you into one product with order variation options.   Email Taryn so she’s able to combine them immediately.
  • Then to save the new item, click Create
  • Again, if you need help with any of this, please reach out to Taryn, as she will be helping your onboarding process be as easy as possible.  And feel free to email her when you add new products so she can feature them on social media and our weekly emails too!

How to put products on sale?

  • Click into that product
  • You’ll see two price categories, the first Price then scroll down to see the List Price.  The List Price will always be your regular price and the first Price when imputed as lower, will make the product ‘on sale.’ 
  • Don’t forget to change the prices to the same when you want the product to be the regular price again.

Order Deadlines

  • Our customers must have their orders placed by Wednesday at midnight.  At 12:01 am you’ll receive a cumulate list of everything to prepare by Friday.
  • Click orders, then view orders to see by the delivery date which orders are for the upcoming Friday and are marked Paid
  • To print labels, highlight the orders for the following Friday, then click print documents, and select print product labels, print
  • Drop off products at the correct drop off location
  • Once the products go out for delivery, Harvestly will mark each order Complete

If your product isn’t to the pick up locations by the specified time, we will let the customer know you were unable to provide them with their order and they will be refunded.  If this happens more than three times, we will have to discuss if Harvestly is the best fit for your business.  We value you as a vendor and want your business to excel with Harvestly but also highly prioritize our customers' satisfaction.

The Message Center has the option for customers to reach out to you directly or for you to reach out to our admin directly.  Click the white plus sign on the top right corner to create a message.  When a customer emails you, you’ll receive an email letting you know to check your vendor email box so you can promptly reply.  Our customers love personalized experience and being able to ask vendors questions! 

Harvestly Requirements

We are excited to have you as one of our vendors!  We believe in clear communication and want to share what we expect from you.  We expect exceptional quality items and consistent timeliness.  Please look over Harvestly at similar items that we are already carrying and be cognizant of those vendors.  Another fun way to feature you is through samples.  If you want to provide samples to go out with a specific Friday delivery, please let us know and we are happy to accommodate that!  

We will feature you on our website, through our emails, and on social media. Each month we choose 4-5 producers and 4-5 farmers to be featured.  Every Monday we have a Meet the Maker and every Friday we have a Farmer Friday.  We also do a giveaway at the beginning of the month from them to get people to want to follow along the rest of the month to meet the faces involved with Harvestly.  

Please let us know your social media so we can tag you in our posts to promote sales!  Ask your customers to leave product and vendor reviews to boost your products.  When you’re making or harvesting items for our customers, please take a moment to photograph your favorite items and give us a shoutout on Instagram or Facebook!  The more you tag us and share, the better your sales will be!  We look forward to working with you and please reach out with any questions - thank you!
